Job Opportunity: Workshop Coordinator

The Ocean Census is actively seeking a Workshop Coordinator to join our dynamic team to manage the workshop and related processes with an international alliance of partners.

The Workshop Coordinator is responsible for developing and managing all the species discovery workshops (including leading some) and the curation of all specimens collected through Ocean Census. Additional responsibilities and opportunities are phased into the development of the role from April 2025, and this may include participating in some research expeditions.

START

As soon as possible.

LOCATION

Hybrid, including at home and at least one day a week at the Oxford HQ. This role will also include international travel.

SALARY

Between £30,000-£35,000 per annum.

CONTRACT

Fixed term ending March 31, 2026, with prospect of renewal thereafter.

WORKING WITH

Ocean Census team members and partner scientists.

Reporting to: Science Manager (Network & Awards).

SUMMARY RESPONSIBILITIES

  • Management: Manage all Species Discovery Workshops for Ocean Census globally (duration 1-3 weeks each) – see details below including the development of future activities.
    o Attendees’ selection (with colleagues), logistics (with logistics team) and management pre, during, post.
    o Risk Assessments and risk management on site (with partners)
    o Shipping (consumables, equipment and biological specimens) – with logistics team
    o Post Workshop Activities: Management of activities and partnerships after the workshops
    o Data: Oversight of data collection and input of all data into Ocean Census Species Data Management System (with Data Coordinator) – and subsequently direct to Ocean Census Cyber-Biodiversity System
    o Permits and Agreements: Develop agreements appropriate for partner institution.
    o Process development: Develop standardised processes for Ocean Census Species Discovery Workshops to support scaling of operations and partners being able to implement their own workshops.
  • Workshop Leadership: Lead some Workshops undertaken by Ocean Census as the representative of Ocean Census, and support Workshop leaders when leadership is undertaken by another member of the Ocean Census team.
  • Specimen Curation: Lead the curation of Ocean Census samples and related biological material from Workshops in host nation / partner collections – ensuring robust and indefinite systems and compliance with international rules and best-practice.
  • Reporting: contributing to reporting for Annual Reports, Board Reports and other papers, including where needed event reports including Species Discovery Workshop reports, catalogue pages and specimen photos.

Development: From April 2025

  • Workshop leader training: Developing guidance for key competencies for workshop leaders and provide training tools for Ocean Census Science Network members.
  • Innovation: Work with colleagues and to generate new ideas / approaches to accelerate species discovery
  • Represent Ocean Census and attend and present at science events and other networking opportunities to develop the Science Network and promote Ocean Census.

KEY ATTRIBUTES

A confident, proactive, and independent self-starter able to work and learn quickly, flexibly and responsively in a fast-changing environment.

ESSENTIAL:

  • Passionate / enthusiastic person with at least 4 years of experience coordinating events
  • Proven experience running scientific events
  • Proven experience of management (projects, teams, budgets, reporting)
  • Strong interpersonal and communication skills with demonstrable ability to lead and develop workshops, confidence and assertiveness in communicating with people at all levels and from different cultures, in order to build good working relationships across the organisation and with partners.
  • IT literate with good knowledge of Microsoft Office and Google applications.
  • Able to work using their own initiative as well as being able to follow direction and work with other members of the team.
  • Highly organised and detail-oriented, with ability to prioritise and manage multiple areas of work.
  • Already hold VISA or passport to work in the UK

 

DESIRABLE:

  • Understanding of logistics: shipping, equipment, biological specimens
  • Experience in managing the distribution of biological specimens for long-term curation in museums or other appropriate archives, including knowledge of Nagoya Protocols and other relevant regulations.
  • Able to speak / read languages other than English.
  • Valid UK driving license.
  • To participate on any expedition, due to the physical demands of this work, candidates would need to pass an ENG1 seafarer medical fitness.
